Booker Active Booking Limit

Enforcing Booker Active Booking Limits

The Booker active booking limit is a specialized privacy and control setting that prevents a single guest from monopolizing your schedule. It ensures that an attendee can only have a set number of "active" (upcoming) appointments.

Why use a Booker Active Booking Limit?

  • Prevent Calendar "Hogging": This setting ensures that one guest cannot book multiple slots for the same event type (e.g., booking five consecutive Mondays).
  • Fair Resource Distribution: In high-demand scenarios like coaching, office hours, or limited consultations, it ensures all your clients have a fair chance to access your time.
  • Reduce No-Show Impact: If a guest books ten slots and fails to show up, it can ruin your entire week. Limiting them to one active booking at a time significantly reduces the risk to your schedule.
  • Manage Service Tiers: If your service model only allows limited session, this tool automates that restriction based on the guest's email address.

How to set it up

  1. Login to your Cal ID account.
  2. Navigate to the Event Types tab in the left sidebar and select the specific event you wish to modify.
  3. Navigate to Limits: Click on the Limits tab in the top navigation bar.
  4. Enable the Limit: Find Booker active booking limit and switch the toggle to ON.
  5. Set the Count: Enter the maximum number of active bookings allowed (typically set to 1).

  1. Enable Rescheduling (Optional): Toggle ON the sub-option Offer to reschedule last active booking to chosen time slot if you want to allow them to move their current meeting instead of just blocking them.

  1. Save: Click the blue Save button at the top right.

How it Works for the Booker

  • The Restriction: If a guest tries to book an additional appointment using the same email address while they already have an upcoming session, the system will block the request.
  • The Error Message: The booker will see a notification stating:
Could not book the meeting.
Booker maximum active booking limit exceeded.

  • The Reschedule Option: If you enabled the "Offer to reschedule" feature, the system will recognize their existing appointment and ask

Could not reschedule the meeting.
You already have a booking for this event on Friday, January 30, 2026 5:00 am (Scheduled_time). Would you like to reschedule to the new selected time?

Important Note

This feature identifies the booker primarily by their email address. If a guest uses a different email address, the system will treat them as a new user. Additionally, for Collective or Team events, this limit applies specifically to that event type to ensure fair access across the entire team's availability.
