Disable Rescheduling and Cancelling

In Cal ID, the Disable Cancelling and Disable Rescheduling features give you full control over the finality of your appointments. When enabled, these settings remove the ability for both the guest and the organizer to change or void a meeting once it is confirmed.

Why use "Disable Cancelling" and "Disable Rescheduling"?

  • Ensure Commitment: These settings are ideal for high-demand events or tightly scheduled environments where a last-minute change would disrupt your entire workflow.
  • Reduce Admin Overhead: By preventing automated changes, you encourage guests to contact you directly if an emergency arises, allowing you to handle exceptions manually rather than having empty slots appear suddenly.
  • Protect Paid Sessions: If you charge for your time, disabling these options ensures that a slot remains filled once it has been paid for and confirmed.
  • Fixed Event Windows: Perfect for workshops, webinars, or one-time physical events where the date and time cannot be moved.

How to set it up

  1. Log in to your Cal ID account
  2. Go to Event Types tab in the left sidebar and select the specific event you wish to modify.
  3. Navigate to Advanced: Click on the Advanced tab in the top navigation bar.
  4. Toggle the Settings: Locate the sections for Disable Cancelling and Disable Rescheduling.
  5. Enable: Switch the toggles to ON for one or both options depending on your needs.
  6. Save: Click the blue Save button at the top right to apply the changes.

How it Works for the Booker

  • Removal of Links: Once these options are enabled, the standard Cancel and Reschedule links will be automatically removed from the confirmation email and the calendar invite sent to the guest.
  • Dashboard Restriction: If the guest has a Cal ID account, they will no longer see the buttons to cancel or reschedule that specific event type within their own Bookings tab.
  • Fixed Commitment: The guest is effectively told that the meeting time is locked in and cannot be changed through automated self-service tools.

Important Note

These settings apply to both the organizer and the guest. If you enable these features, you as the organizer will also lose the ability to cancel or reschedule the event directly from the Cal ID dashboard or your calendar links. Use these settings only when you are certain the meeting must remain fixed.
